Normal balances

Objective: State the normal balance of any account type.

Recommended first: The five account types

Each account has a normal balance: the side, debit or credit, on which its increases are recorded. Assets and expenses have normal debit balances. Liabilities, equity, and revenue have normal credit balances.

The pattern follows from the accounting equation. Assets sit on the left of the equation, so they increase on the left (debit). Liabilities and equity sit on the right, so they increase on the right (credit). Revenue increases equity, so it is a credit. Expenses decrease equity, so they are debits.

  • Owner Drawings reduce equity, so they carry a normal debit balance.
  • An account with a balance on the opposite side from normal deserves investigation — it may be an error or an overpayment.

Normal balances also help you spot errors. A Cash account with a credit balance means the books show more paid out than came in — often a missing deposit or a duplicated payment. A supplier with a debit balance usually means an overpayment. Reviewing balances against their normal side is one of the fastest month-end checks a bookkeeper can do.

Check your work

  • Which side increases this account?
  • Is any balance sitting on its abnormal side?
  • Did you treat contra accounts as the opposite of their parent?
Worked example: Why rent is a debit

Rent Expense reduces equity, and equity decreases with a debit, so paying rent debits Rent Expense.

Journal entry for the worked example
AccountDebitCredit
Rent Expense$1,200.00
Cash$1,200.00

Common mistakes

  • ✗ Thinking 'credit' always means an increase, as with a bank card.

✓ Your bank credits your account because, to the bank, your deposit is a liability.
